You conscientiously take care of the office management:
- Procurement of office supplies and consumables, beverages and snacks
- Coordination of the meeting rooms
- Professional cooperation with external service providers (property management, cleaning, catering and security)
- Checking and approving delivery bills and invoices
- Assistance tasks for the management
- Management and organization of office maintenance and repair work
- Managing contracts and price negotiations with external service providers
- Respond to employee inquiries regarding office administrative matters (e.g., office supplies, hardware, and travel arrangements)
- Organizing our internal company events (e.g. Christmas party, summer party, birthdays)
- Support in organizing and booking travel, trade fairs and business meals
- Support with travel expense reporting
- Assist with onboarding of new employees
- Administrative recruiting tasks as a vacation replacement for the HR department
- Accompanying our foreign employees to government offices and housing appointments as needed
- Collaboration with the human resources department to implement office policies
- Welcoming our guests and forwarding them to the appropriate contact person
- Ensuring a pleasant atmosphere for our visitors
- Serving our guests with drinks and snacks during their visit
