(Senior) Office Manager (m/f/d)

​You conscientiously take care of the office management:
  • Procurement of office supplies and consumables, beverages and snacks
  • Coordination of the meeting rooms
  • Professional cooperation with external service providers (property management, cleaning, catering and security)
  • Checking and approving delivery bills and invoices
  • Assistance tasks for the management
  • Management and organization of office maintenance and repair work
  • Managing contracts and price negotiations with external service providers
You will be the point of contact for employees, superiors and managing directors:
  • Respond to employee inquiries regarding office administrative matters (e.g., office supplies, hardware, and travel arrangements)
  • Organizing our internal company events (e.g. Christmas party, summer party, birthdays)
  • Support in organizing and booking travel, trade fairs and business meals
  • Support with travel expense reporting
  • Assist with onboarding of new employees
  • Administrative recruiting tasks as a vacation replacement for the HR department
  • Accompanying our foreign employees to government offices and housing appointments as needed
  • Collaboration with the human resources department to implement office policies
You are the first contact for our business partners and visitors:
  • Welcoming our guests and forwarding them to the appropriate contact person
  • Ensuring a pleasant atmosphere for our visitors
  • Serving our guests with drinks and snacks during their visit
Minimum Qualifications
  • A completed commercial apprenticeship with at least 3 years of professional experience in the administrative and organizational field
  • A high level of commitment, flexibility and implementation skills
  • A reliable, structured and independent way of working
  • Organizational talent, strong communication skills
  • friendly and engaging appearance
  • Very good command of written and spoken in German (native) and English (intermediate level)
  • Problem solving skills and attention to detail
  • Professional representation of our company to the world at large
  • Proficient use of MS Office (especially MS Excel and MS Outlook).
  • Hands-on experience with office equipment (e.g., printer)
